Your Own Mail Server or Email Hosting?

Your own mail server or email hosting? Comparing IP reputation, reverse DNS, spam filtering, maintenance and cost, plus how to send email from your apps.

The words Mail Server vs Hosting with rDNS, Spam and Deliverability on a dark Nodesty background

There are two ways to use email with your own domain: set up your own mail server on a server, or leave the job to a specialized email hosting service. Running your own mail server is technically possible and free with open-source software, but making sure email actually reaches the recipient's inbox, stopping spam and keeping the server secure take constant effort. For most businesses and projects, email hosting is the more reliable and more economical route.

In this article, we explain what running your own mail server takes, what email hosting gives you, which one to choose in which situation and the right way to send email from your applications.

What does a mail server take?

A mail server is more than a program that receives and sends email. For it to work reliably, all of these need to be right:

  • A clean IP address: Large providers like Gmail and Outlook look at the history of the IP address sending the email. Emails from an IP address that has been used for spam before or has landed on a blacklist are rejected or land in the spam folder.
  • A reverse DNS (PTR) record: Your IP address needs to resolve to your mail server's name. This record isn't set in your domain's DNS panel but by the provider that owns the IP address.
  • SPF, DKIM and DMARC: Records that prove who may send email on behalf of your domain and that your emails haven't been altered. See our What are SPF, DKIM and DMARC? article for details.
  • Outbound port 25: Email is relayed between servers over port 25. Many providers restrict this port to prevent abuse; find out your provider's policy before setting up your own mail server.
  • Spam and virus filtering: Filtering incoming email takes rules and lists that need constant updating.
  • Security and maintenance: Mail servers are among the most attacked services on the internet. Software updates, protection against password-guessing attacks and making sure you aren't an open relay are your responsibility.
  • Backups and storage: Mailboxes grow over time and contain correspondence that has to be kept for years.

Open-source packages like Mailcow and Mail-in-a-Box make the setup easier, but they don't remove the responsibilities above. The hardest part isn't the setup; it's making sure your emails keep reaching the inbox for months and years.

What does email hosting give you?

Email hosting is a service that runs the email infrastructure for you:

  • Deliverability: The provider uses IP addresses with managed reputation and correctly configured servers.
  • Spam protection: Incoming email is filtered before it reaches your inbox.
  • Easy access: With webmail, IMAP and POP3, you reach your email from your browser, your computer and your phone; we cover the setup in our IMAP vs. POP3 vs. SMTP article.
  • No maintenance: Updates, security and monitoring are the provider's job.
  • Independence: Your email runs separately from your website; when you change hosting or reinstall your server, your email isn't affected.

Sending email from applications

Your website's contact form, password reset emails and order notifications are email too. Sending them straight from the server without authentication is the most common source of spam problems. The right way:

  • Send over SMTP. Make your application send its emails through authenticated SMTP, via your own email hosting account or an email sending service. In WordPress, you do this with an SMTP plugin.
  • Use a sender address on your domain. Use an address like notifications@yourdomain.com and make sure your SPF record covers the service you send through.
  • Keep bulk sending separate. Don't send newsletters and campaign emails from the same account as your personal and business correspondence; use bulk sending services for that.

Which one should you choose?

  • If you want email addresses for your company or project: Email hosting. Setup takes minutes, and you don't have to deal with maintenance.
  • If you want to learn email infrastructure or want full control, and you can spare the time: Your own mail server can be a learning project; even so, test deliverability for a long time before moving important correspondence to it.
  • If your application sends email: Email hosting for inboxes, and authenticated SMTP for application emails.

Nodesty email hosting

Nodesty email hosting plans offer email addresses on your own domain, SpamExperts spam protection, webmail and IMAP/POP3 access; incoming spam and malicious emails are stopped before they reach your inbox. Wherever you host your website, your email stays on separate, reliable infrastructure. You can move your emails from another provider to your new account over IMAP.

Frequently Asked Questions

Is running my own mail server cheap?

The software is free, but the real cost is time. Updates, tuning the spam filter, watching blacklists, backups and investigating undelivered emails take constant effort. For a few mailboxes, email hosting is almost always both cheaper and more reliable.

Why do emails I send from a new server land in the spam folder?

A new IP address has no email sending history, and large email providers are suspicious of such addresses at first. If SPF, DKIM, DMARC and reverse DNS records are missing, or if the IP address has been abused before, emails land in the spam folder or aren't accepted at all.

What is a reverse DNS (PTR) record?

A reverse DNS record tells which domain an IP address belongs to. Mail servers check the reverse DNS record of the incoming connection's IP address, and if there's no record or it doesn't match the domain, they may reject the email. This record isn't set in your domain's DNS panel but by the provider that owns the IP address.

My website's contact form can't send email. What should I do?

Make your forms send through authenticated SMTP instead of PHP's mail() function. In WordPress, an SMTP plugin lets you send form emails through your own email hosting account or an email sending service. This also lowers the chance of emails landing in the spam folder.

What's the difference between email hosting and Google Workspace or Microsoft 365?

Google Workspace and Microsoft 365 are office suites that include document, calendar and meeting tools alongside email. If you only need email addresses on your own domain, email hosting does the same job more simply and usually at a lower cost.

What happens to my old emails when I move to email hosting?

You can move your old emails to your new account over IMAP. First create the new mailboxes, then add the old and new accounts to the same email client and move your folders, or use a tool like imapsync. Change the MX record after the migration is finished.
